Event Rental FAQs: New Orleans

Event Rental FAQs for Large Conventions and Corporate Programs

These event rental FAQs answer what corporate, convention and experiential planners ask most before a New Orleans program: how we handle large orders and multi-venue schedules, insurance certificates, convention center contractors, overnight installs and branded pieces. If your question is not here, our team can walk through your floor plan and dates.

How do I book event furniture rental for a corporate event in New Orleans?

Send your event dates, venue, headcount and the pieces you’re considering through our contact form or by email. We confirm availability, recommend quantities for your space, and handle delivery, setup and strike in New Orleans, Metairie and Kenner.

Yes. We regularly supply hundreds of pieces for a single event, from lounge seating and bar tables to stools, registration counters, LED furniture and scenic walls. Send your floor plans and attendance, and we build quantities area by area: registration, general session green rooms, sponsor lounges, booths and receptions.

Yes. We provide a certificate of insurance naming the venue, hotel or general contractor as additional insured. Send the venue’s COI requirements with your order so the certificate is on file before move-in. If the venue requires specific coverage limits or a waiver of subrogation, include that in the requirements and we add it to the certificate.

Send venue names and contacts, load-in and load-out windows, floor plans or booth numbers, item quantities, artwork for any branded pieces and the venue’s COI requirements. Our crew handles delivery, setup and removal on site in New Orleans, Metairie, Kenner, Baton Rouge and Southeast Louisiana.

Yes. A 45% deposit reserves your furniture and event dates, and the deposit is non-refundable. The remaining balance is due 14 days before your event delivery date.

We send a secure payment link through Intuit, which is fully PCI compliant. Your payment details are entered on Intuit’s protected payment page rather than shared with us directly, so finance and accounting teams can pay with confidence.

Spark charging furniture always plugs into a standard outlet. LED pieces vary: some run on a rechargeable battery and some plug in. Your quote confirms which pieces need power, so you can add outlets to the venue or show electrical order before move-in.

Yes. Send the loading dock location, freight elevator size, and the load-in and load-out windows for each room. We schedule delivery and removal around them, including after-hours and overnight work when a ballroom turns over between events.

Yes. Many shows at the Morial Convention Center let exhibitors use an outside furniture vendor, usually by filing an Exhibitor Appointed Contractor (EAC) form before the show deadline. Check your Exhibitor Service Manual, then send us the show name, booth number and EAC requirements with your quote request.

Yes. We deliver to hotel ballrooms, meeting rooms, galleries and outdoor venues across New Orleans, plus Metairie, Kenner and Baton Rouge. Include loading dock, freight elevator and access details when you request a quote.

Book as soon as your dates and venue are confirmed. Inventory goes first around large conventions and the city’s busiest periods, including Mardi Gras, Jazz Fest and the Sugar Bowl.

No. We don’t offer customer pickup or will-call. Every rental is delivered, set and removed by our crew, so pieces arrive inspected and placed where you need them.

Quotes depend on the pieces and quantities, your event dates, the venue and its access, and setup and removal timing. Send a list of items, or a headcount and floor plan, and we’ll send back a quote.

Yes. Every product page lists dimensions and weight, and the rental catalog covers the full collection, so you can plan your layout before you request a quote.

Trade Show Exhibitor FAQs

Can I use my own furniture vendor at the Ernest N. Morial Convention Center instead of Freeman or GES?

Usually, yes. Most shows let exhibitors hire an outside furniture company as an Exhibitor Appointed Contractor (EAC) by filing the EAC form before the show deadline. We coordinate with the general service contractor, such as Freeman or GES, follow the show’s advance warehouse and marshalling yard procedures, and provide a certificate of insurance naming the venue or contractor.

Send the show name, booth number and booth size, your move-in and move-out times, the EAC and certificate of insurance requirements from your Exhibitor Service Manual, the pieces you want, and an on-site contact for delivery day. If you are branding pieces, send artwork early so graphics are ready before move-in.

It depends on the show. Deliveries go through the advance warehouse, the marshalling yard or directly at a targeted move-in time, as your Exhibitor Service Manual specifies. We follow those procedures and schedule delivery so the furniture is set in your booth during move-in.

A 10×10 usually takes one bar-height table with two or three stools, or two lounge chairs and a small end table, with the front left open. A 10×20 fits a small lounge group or a demo counter with two cocktail tables. Island booths can combine a lounge group, a communal bar-height table, a branded counter or LED bar, and charging furniture. Our trade show furniture guide covers each size.

Our crew does. We remove every piece during the show’s move-out window, so your team does not need to pack or ship anything back.

Yes. One point of contact can manage furniture for several booths, sponsor lounges and meeting rooms under one delivery schedule, so orders and move-in timing stay in one place.

Our crew is not union. When a venue or show requires union labor, the client arranges the union crew, and we work in coordination with them on delivery, placement and removal so the schedule stays on track.

Corporate Conference FAQs

Can one vendor cover the convention center and our host hotels?

Yes. Multi-venue programs, such as host hotel lounges, convention center booths and an offsite reception, run under one point of contact and one delivery schedule. We coordinate each venue’s dock times and rules so your team does not have to.

A common starting point is one cocktail table for every 8 to 10 guests, with seating for about a quarter to a third of attendees. For 500 guests that is roughly 50 to 63 cocktail tables and 125 to 170 seats. For 1,000 guests it is roughly 100 to 125 tables and 250 to 335 seats. Longer programs and VIP areas need more seating.

On stage, a pair of lounge chairs or bar stools with a small side table suits panels and fireside chats, and an illuminated tower stage set can frame the screen. In a speaker green room, a loveseat, armchairs and a coffee table, plus Spark charging furniture, give speakers a place to rest and charge.

Yes. After-hours, overnight and multi-day installs and strikes are available. That includes turning a general session room into a reception, or setting a sponsor lounge after the exhibit hall closes, so your program stays on schedule.

Use Spark charging furniture: sofas, loveseats and armchairs with power built into the arm, plus coffee cubes, coffee tables and cafe or communal tables with charging ports. Every Spark piece plugs into a standard outlet, so plan power for each grouping. An eight-locker charging station lets attendees secure a phone while they walk the floor.

Yes. We provide a W-9 so your finance or procurement team can set us up as a vendor. Ask for it when you request a quote and we send it with your paperwork.
